Admin Support to the Parish Council

We are seeking a dedicated and organised Admin Support to assist the Parish Council with a wide variety of administrative tasks. This role offers an excellent opportunity for individuals with office experience and strong organisational skills to contribute to local community governance. The successful candidate will provide vital support in public interactions, maintaining records, and ensuring smooth day-to-day operations within the Parish Council, along with being a much valued member of the office team.

Location: East Peckham Parish Council, Parish Office
Hours per week: 16 hours, 9am – 1pm, Monday, Tuesday, Wednesday, Friday
Salary: Starting Scale Point 7 – 9 depending on experience (£26,403 – £27,254, pro-rata)

Job Specification
Core Responsibilities will include but not be limited to:

Public Interaction: Greeting visitors in person and answering phone calls, providing accurate information on services, resolving minor queries and escalating complex ones to the Clerk. Posting of general Social Media posts online.

Documentation & Data: Providing general clerical support including photocopying, scanning, and filing documents. Preparation of documentation required for meetings, posting of agendas online and on noticeboards. Printing, laminating, proofreading documents before publication. Maintaining accurate physical and digital filings systems, update databases, and ensure all data handling complies with GDPR and data protection laws.

Office Coordination: Manage the Bookings diary and responding to requests for hire. Ensure office supplies are fully stocked. Research quotes and liaise with suppliers and other local organisations for information required. Support the Local Development Committee’s work on the Neighbourhood Plan

 

Essential Skills & Qualifications;

Communication: Exceptional verbal and written skills, including a professional telephone manner and the ability to adapt tone for diverse audiences (from stakeholders to the general public)

IT Proficiency: Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and the ability to learn other systems. Good typing speed and accuracy for data entry tasks.

Interpersonal attributes: Diplomacy, discretion for handling confidential information and the ability to remain calm under pressure.

Organisation: Strong time-management skills to multi-task effectively in what can be a  fast-paced environment with shifting priorities.

Experience: Proven office experience or administrative background is vital. Knowledge of local government procedures or community organisation operations is a plus but not essential.

Education: GCSE English and Maths. Other qualifications relevant to the role would be desirable but not vital.
